Operations Support Coordinator

Our Operations Support Coordinator provide critical support to the Site Team as well as our client and internal departments to ensure that exceptional service levels are continually delivered.
The role is to support the day
to day running of the facilities and housekeeping team on site. The ideal
candidate will have a hands-on approach to all FM related matters and will be
an excellent administrator and communicator.
This is a varied and fast paced role within a busy team! The right candidate will be expected to use their own initiative and be capable of thinking on their feet to resolve queries or issues.
Responsibilities:

- Schedule external contractors to carry out planned and
reactive maintenance.
- Manage PPM schedules for the site.
- Monitor contractors to ensure delivered services are in line
with agreed standard.
- Complete payments of wages and submit to payroll.
- Ensure the teams’ training is up to date.
- Schedule weekly, monthly, quarterly & Bi annual Cleans.
- Review stock level of chemicals and consumables on a weekly
basis, placing orders as required.
- Check all Logbooks at the end of each week.
- Brief the incoming shifts regarding upcoming works and
variances to the planned cleaning schedules.
- Operate in an efficient manner following all GMP standards.
- Manage Safety toolbox talks and safety observations for the
team.
Liaise
with contractors (such as maintenance teams) to put agreements in place where
there is no existing agreement
Required Skills:
- Excellent organisational skills with the ability to prioritise and manage multiple tasks simultaneously.
- Strong communication, customer support and interpersonal skills
- Ability to resolve issues or problems and work as part of a team or independently.
- Excellent written and numeracy skills for preparing rosters, timesheets, and various reports.
- The ability to prioritise and manage a dynamic workload
- Strong MS Office skills –Excel, Outlook and Word
- Dependable and flexible
- Strong attention to detail with a high level of accuracy

· Experience in a GMP
environment.

Experience of hard and soft FM service
management.

Experience in the use of CMMS and training packages
a distinct advantage.

Good communication skills both Written and
Verbal.

Professional approach to all situations.

Professional manner when dealing with Client.

Excellent attention to detail.
·
Possess and display initiative.
·
Possess good planning skills.
·
Must be able to understand SDS for chemicals
and SOP Cleaning Procedures.
