POSITION

Title – Operational & Technical Coordinator – Dual Services Cleaning & Security

Reporting to – Key Account Manager and Key Account Director

Pay - £32,500 per annum.

40 hours per week, working hybrid on average 2.5 days per week on site across a working month.

JOB OVERVIEW

As the Operational & Technical Coordinator you will be responsible for supporting the cleaning and security services across multiple sites in the UK, supporting contract managers and site operators to deliver class leading services.

You will build strong and long lasting relationships with many stakeholders within the service delivery model, whilst providing an agile and positive response to any operational requirements.

KEY RESPONSIBILITIES

  • Responsible for the operational coordination of the cleaning and security teams, ordering of consumables, ordering of machinery, organising training and other items required for service delivery
  • Management of sub contractors, including co-ordination, reporting and innovations
  • Responsible for auditing cleaning and security operations to ensure compliance and service delivery excellence
  • Responsible for financial elements of the contract such as quotes, PO creation, ensuring budgets are met etc.
  • In conjunction with the Key Account Managers, creation of monthly and quarterly business review presentations
  • Support in proactively maintaining regular engagement with key client contacts in line with client expectations
  • Respond to ad-hoc operational demands utilising sound decision making whilst ensuring client satisfaction
  • Support in the development and implementation of an efficient and suitable communication strategy for the dual services team
  • Support training & development, performance, motivation, safety, welfare, and discipline of team members
  • Ensure compliance by maintaining all contract documentation is up to date
  • When required train and induct team members, contractor or client colleagues
  • Endorse new company initiatives and ensure they are implemented on site. Ensure the business is fully compliant with Industry Standards, relevant employment legislation, ISO and Company procedures & policies
  • To be involved in recruitment process and vet employees in alignment with company and client policies, terms and conditions, and be accountable for their induction and ongoing training and development
  • To ensure compliance with all company’s HR policies and procedures by strictly adhering to and acting upon within authority, and that no action is initiated unless authorized by your line Managers or HR.
  • To actively encourage and promote team spirit and development
  • To ensure monthly payroll figures are accurate and that all relative documentation is prepared in line with appropriate deadlines and budget controls
  • Carry out project work as part of a team or an in individual
  • To ensure that all necessary resources, materials, and machines are available and on site and maintained to contract specification.
  • Responsible for adherence to all company Health and Safety policies, procedures, and instructions and to confirm their effectiveness through planned Health & Safety audits and regular reviews
  • To audit accident reporting procedure and assist promptly and accurately in the completion of all relevant documentation
  • Audits including regular inspections of all operational machinery equipment including rectification of any faults, organising yearly PAT testing
  • Assist in team performance reviews
  • Administer the permit to work system for all Bidvest Noonan works and Bidvest Noonan contractors, reviewing contractor RAMS as well as submitting RAMS and permits for Bidvest Noonan works
  • Supporting mobilisation of new contracts
  • Ability to travel to other client locations within the UK if required

Required Competencies

  • Sound knowledge of exceptional operational delivery
  • Must have knowledge of reporting requirements for KPI’s and SLA’s
  • Good knowledge of financials and managing budgets
  • Must have excellent PC and organisational skills (Word, Excel, PowerPoint, Outlook etc.)Ability to produce/interpret/analyse reports.
  • Knowledge of e-permit or similar system
  • Must have excellent communication and influencing skills – This role will require interaction at various levels within the company as well as internal and external customers.
  • Highly flexible with a demonstrated willingness to take on a responsible approach to any issues arising within their area.
  • Practical and logical approach to problem solving.
  • Be a team player with the ability to develop and maintain good interpersonal relationships.
  • Demonstrable proactive and professional approach to security and cleaning
  • Must have previous experience in a supervisory or team leader role
  • Ability to operate under pressure
  • Excellent time management & task prioritisation skills
  • Good customer service and organisational skills

    Desirable Skills

  • First Aid at Work certified
  • BICS licence holder
  • IOSH Managing safely or higher qualification
