About The Role

At our client corporate site, our Receptionists help create an environment and culture that enables us to fulfil our mission of providing exceptional client service. We are currently seeking an enthusiastic professional to fill this full-time role and rise to the challenge. The ideal candidate is a detail-oriented and personable multitasker who has experience as a Receptionist in a fast-paced office setting. This person will bring resourcefulness, organisation and excellent communication skills to our client.

Objectives of this role

  • Generate a positive impression of our client’s business by welcoming visitors, responding to requests and supporting co-workers
  • Encourage efficient scheduling, workflows, communications and office operations daily
  • Recognise issues requiring immediate attention and communicate to leadership any deviations from standard operating procedure

Responsibilities

  • Greet visitors and colleagues in a friendly manner, answer and redirect phone calls, manage mail and contractors/vendors, send and respond to emails, manage printing and copying
  • Type up memos, meeting minutes, letters, reports, forms and similar content from dictation if instructed
  • Maintain detailed calendars, coordinate schedules, prioritise meetings,
  • Establish and maintain record-keeping system for contacts, files and employee directory
  • Arranges any lunches, catering requirements for visitors or training events
  • Maintains & orders all our stationary requirements
  • Assisting with students access
  • Maintains visitor welcome board in lobby & TV monitor in canteen
  • Assists with health & safety requirements including keeping fire list up to date Provides support to Office Manager as required
  • Forwarding of scanned invoices to relevant off site department

Required skills and qualifications

  • Experience as a receptionist
  • Excellent written and verbal communication skills
  • Ability to multitask and manage time effectively
  • MS Office Suite experience
  • Valid visa to work full time in Ireland

Preferred skills and qualifications

  • Previous experience in administrative role
