The Distribution Centre Administrator supports the efficient operation of the Distribution Centre by managing procurement activities, maintaining compliance schedules, coordinating vendor communication, and ensuring accurate documentation. This role requires strong organisational skills, a high level of accuracy, and confidence working with multiple business systems.
Key Responsibilities
Procurement & Purchasing
Create, issue, and track purchase orders to support DC operations and service requirements. Act as the primary vendor contact for purchasing queries, pricing, service coordination, and order updates. Ensure purchasing data is accurately maintained in SAP, Ariba, and other internal systems.
Invoice & Financial Administration
Process, validate, and track invoices through the internal approval workflow. Work with Finance and operational teams to resolve discrepancies and ensure timely payments.
Documentation & SOP Management
Edit, update, and manage Standard Operating Procedure (SOP) documents. Maintain version control and ensure all documentation meets internal compliance standards.
Calendar & Compliance Coordination
Manage the Distribution Centre calendar, including planned activities, supplier visits, and operational key dates. Maintain and update the Engineering Compliance Calendar to ensure inspections, services, and compliance activities are completed on schedule. Liaise with Engineering and Facilities teams to coordinate required compliance tasks.
Systems & Tools
Daily use of the following systems: SAP, Ariba, MS Teams, Glorya, Internal CMMS, ServiceNow.
Skills & Competencies (Essential)
Experience in supply chain or administrative support roles. Strong organisation and time-management skills. Clear communication abilities. High accuracy in data entry. Proficient in SAP, Ariba, MS Teams, and workflow tools. Ability to manage multiple calendars.
Skills & Competencies (Desirable)
Experience with CMMS systems and engineering compliance workflows. Understanding of procurement processes and vendor management. Ability to interpret data and support process improvements.
Qualifications
GCSEs or equivalent required. A-Levels or vocational qualifications preferred. Supply chain or procurement-related certification beneficial but not essential.
