About The Role

This is a dual role where you will rotate between the two sets of duties on a weekly basis. You'll be someone who enjoys working with colleagues to tailor and deliver a five-star customer journey in the building for all the visitors and occupiers as the first point of contact. In this role you will be expected to with both  internal and external clients adding value to the role and the business with advanced ideas and ideas. The success of the role relies on building strong relationships with the occupiers, their visitors and other internal stakeholders, tenants and contractors.

The role also requires you to work  with other service providers on site embracing a one team approach, exactly the confidence team. We are looking for someone who can use their own lead to always improve the service approach to ensure the highest levels of customer service are achieved. You would be expected to create a culture of excellence that delivers a world class service for our clients and adopts the building vision and values.

About the role 

  • Collect HTB deliveries from the loading bay and notify the staff member who ordered it.
  • Collect incoming post from the loading bay in the am & pm daily.
  • Frank all outgoing post each evening and take down to the loading bay (no later than 4:30).
  • Stock and maintain the client areas with water, soft drinks, tea & coffee each day
  • Raise Purchase Orders.
  • General Health & Safety management (supporting the Facilities Manager) by carrying out daily/weekly walk arounds and tests.
  • Providing Health & Safety induction for all new starters and circulate H&S presentation packs.
  • Manage online facilities accounts
  • Promptly reporting issues as and when they arise (keeping the Facilities manager up to date)

Reception Duties

  • Assist HTB reception with meeting room tidying and room management.
  • Assist with meeting room layouts i.e. adding & removing chairs and storing them back into the storage room.
  • Assist HTB reception with providing refreshments and lunches (when requested) for meetings.
  • Assist HTB reception with client arrivals, offering refreshments, taking coats & luggage etc.
Skills & Experience required 
  • Do you have a proven background within a receptionist role? 
  • Do you have excellent customer care skills? 
  • Are you someone who can develop a strong sense of community? 
  • Are you IT Literate in MS Office Suite (word, excel and outlook)?
